What you can do here
Drag-and-drop upload
Drop one or many files onto the upload area, or use Choose files. Most document types are accepted, including uncommon medical exports; executable, script and source code files are blocked. Files go straight to secure storage with a progress bar per file; pick a category first so records stay organized.
Automatic safety scan
New uploads show a Scanning badge while the virus scan runs. A clean file becomes available with thumbnails and a preview; a blocked file is quarantined, can never be opened, and your workspace admins are notified.
Thumbnails and statuses
The grid shows a small preview of each document with a live status: Scanning, Preparing, Ready, Needs attention, or Blocked. Switch between grid and list with the view toggle.
Search by name and content
Use the search box in the toolbar to find a document by its name, tag, or the text inside it. Search spans every folder, and the list narrows as you type with a clear message when nothing matches so you are never left staring at an empty screen. Content search covers the leading text of each document.
Sort the list
Sort by date added, title, category, status or number of versions from the toolbar. In list view, click a column heading to sort by it and click again to reverse the order.
Quick actions and rename
Right-click any document, or use the actions button on its card or row, to Rename, Duplicate, Move to folder, Share or Delete it without opening details. Duplicate makes a fresh copy titled “Copy of ...” that scans and previews on its own. In list view you can also double-click a name to rename it.
Folders
Organize documents into folders, which are separate from the clinical category. Press New folder to create one, open a folder to see what is inside, and use the path above the grid to step back up. Move a document with its Move to folder action, or select several and move them together. Right-click a folder to rename or delete it; deleting a folder keeps its documents and moves them up one level.
Share from the preview
While viewing a document, press Share in the viewer toolbar to share it in the portal or create a secure link, without leaving the preview for its details.
The document viewer
Open any document to read it in the built-in viewer: page thumbnails, zoom, rotate, and brightness and contrast controls for faint scans. PDFs, images and Word, Excel and PowerPoint files all preview in the same viewer.
Select text and find within a document
Scanned and native documents alike get a text layer, so you can select and copy text straight from the page. Press Find (or Ctrl/Cmd+F) to search within the open document; matches are highlighted and you can step through them with Next and Prev. To find documents across the workspace by their content, use the toolbar search, which matches the text inside them as well as their names.
Categories and organization
Each document has a clinical category such as lab report, referral, consent or insurance. Filter the page by category with one click, and link a document to a patient contact so it appears with their record.
Suggested categories
New uploads can be read for their file name and text to suggest a category and tags. Suggestions never change a record on their own: a Suggested chip appears, and staff confirm it with one click. Admins can turn suggestions off in Document policy.
Version history and restore
Open a document's details to see every version with its size, page count and date. Add a new version at any time, open an older one, or restore a previous version as the current one. Nothing is overwritten; the full history is kept.
Access log
Each document's details include an access log: who viewed, shared or changed it and when. It records actions only, never file content, and supports compliance and patient-transparency requests.
Bulk actions
Select several documents to tag them, change their category, or delete them together. Original-file downloads and zip exports are disabled; use the in-app preview to read documents.
Saved views
Save a filter you use often as a named view for your team, then reapply it from the Views menu in one click.
Usage and limits
Your plan includes a monthly upload allowance, a per-file size cap and total storage. The counter next to the filters shows where you stand; workspace admins are alerted as you approach a limit.
Recycle bin, retention and legal hold
Deleting a document moves it to the recycle bin, where staff can restore it during a grace period before it is permanently removed. Admins set how long each kind of document is kept in Document policy; when a document passes its retention date it moves to the recycle bin automatically. A legal hold pauses all of this so a document under investigation is never deleted.
Sharing with patients and beyond
Open a document's details to share it. Share it in the portal with the linked patient, or create a secure, expiring link to send outside the workspace. External links are watermarked, never expose the original file, and record every open. Revoke any share at any time; access stops immediately.
Records patients share with you
Patients can share their own records into your clinic from My Records. Open Shared with me above the grid to see everything shared with your clinic, and open a record to read it. When a share is limited to specific clinicians, only they see it. Opening a shared record is recorded, and access stops the moment the patient revokes the share.
Who can see what
Clinical staff see the workspace's documents (or only their care team's, if your admin chooses that in Document policy). Patients see only their own records and anything shared with them. Every access is recorded.
Medical imaging (DICOM)
DICOM studies preview as a filmstrip of frames with the imaging type and body part shown. For sharing or research, create a de-identified copy: patient identifiers are stripped into a separate, clearly labeled version while the original stays untouched.
Patient access to their records
When you have the patient role, Documents shows only your own and shared records, read-only. Open any document to see its access history, so you always know who has viewed your information.
